TAFE curriculum maintenance procedure
Procedure
Intent and objectives
To provide Program Managers and Co-ordinators with guidelines on how to access information on the currency of RTO Scope of Registration and the curriculum base, and implement document control practices for learning and assessment materials and information to students.
Exclusions
There are no exemptions to this procedure.

A. Checking scope of registration | ||

1. Access the NTIS database to check the RMIT Scope of Registration, to ensure the University has authority to conduct the Training Package qualification, units of competency or accredited course. 2. Use the accompanying Guidelines on Checking Program Information to search the NTIS database. 3. Where the program or units of competency are not listed on the current RMIT Scope of Registration, complete and process an Application for Amendment to the RMIT Scope of Registration in (TAFE) guidelines according to the Maintenance of the RMIT Scope of Registration procedure. |

B. Checking currency of curriculum base | ||

1. Access the NTIS database to check the version/currency of the relevant endorsed Training Package qualification or accredited course including:
2. Use the accompanying Guidelines on Checking Program Information to search the NTIS database. 3. For Training Packages, the version identifier code should also be checked against the listing in Australian Training Products website. The Modification History sheet in the Training Package should also be checked for a summary of changes made in all versions. |

C. Tracking versions and/or amendments to accredited courses/qualifications | ||

1. Document in the Program Log Register, the current version of the accredited course/Training Package qualification (template attached with a worked example) 2. Document in the Program Log Register, amendments to the current version of the accredited course/Training Package qualification including the reference, content of the change and date of revision (template attached with a worked example). 3. Where the program is an accredited course, forward a copy of the current accredited curriculum to the RMIT Library for student access. 4. The Modification History sheet in the Training Package should also be checked for a summary of changes made in all versions of the Training Package. 5. Where program information can not be accurately tracked or located, contact the Curriculum Maintenance Manager that has coverage of the Training package or curriculum area, or Australian Training Products Ltd. 6. Use the accompanying Guidelines on Checking Program Information to access contact details of the relevant Curriculum Maintenance Manager. |

D. Implementing document control | ||

1. Carry out standard document control for all materials that support program delivery and assessment (paper-based or electronic excluding personal teacher notes). Where practicable, materials must contain the following information:

E. Consistency of program nomenclature in information to students/clients | ||

1. Check that all course and program nomenclature (including codes and titles of AQF qualifications) on the AMS is identical to that on the NTIS. Where there is a discrepancy, notify the Course Administration and Secretariat Unit at course.admin@rmit.edu.au to make appropriate amendments. 2. Checking procedures relate to information provided in TAFE Course Guides and marketing materials prepared by the department (paper-based and electronic). |
